Getting air conditioning work done in Sydney or Brisbane doesn't need to involve multiple phone calls, a preliminary site visit, or waiting days to find out what you'll pay. DR.COOOL's process is built around a single online starting point — the Live Quote — and a clear sequence from there to completed work.
How Dr.Coool Works
The process starts when you submit your enquiry. Everything else follows from that — your quote, your booking confirmation, your installation or service date, and your Comfort Report at the end.
There are no hidden steps and no surprises introduced on the day. The scope of your job is agreed before any work begins.
Start With a Live Quote
Every job at DR.COOOL starts with a Live Quote. This is our online enquiry form, available at drcoool.com.au/pages/live-quote.
You don't need to call ahead. You don't need to book a site visit. You fill in your property details, describe what you need, and upload a few photos. We do the rest.
The Live Quote is designed to give us enough information to assess your job accurately and come back to you with a fixed price — not a range, not a "starting from" figure, but an actual number for your actual property.
Step 1: Tell Us What You Need
The first section of the Live Quote captures the basics: your name and contact details, your property address, the type of service you're enquiring about (installation, repair, maintenance, cleaning, or replacement), and any relevant details about your setup.
For installations, this includes the number of units, the rooms involved, the floor level, and your preference on timing. For repairs, it includes a description of the fault and when it started. For maintenance and cleaning, it includes the number of units and when they were last serviced.
The more specific you can be, the faster and more accurate your quote will be.
Step 2: Upload Useful Photos
Photos are the most important part of the Live Quote process. They allow us to assess your property without a preliminary visit — which means you get a fixed price faster, and we arrive on the day already knowing what the job involves.
For installations, useful photos include:
- The wall where you want the indoor unit installed (inside)
- The outdoor area where the outdoor unit would go
- The path between the two, showing wall type and any obstacles
- Your switchboard
For repairs, useful photos include:
- The indoor unit (front and side)
- The outdoor unit
- Any visible damage, error codes, or unusual symptoms
- The area around the unit if relevant
For maintenance and cleaning:
- The indoor unit filter and front panel
- The outdoor unit
- Any visible buildup or issues you've noticed
Standard smartphone photos taken in good light are sufficient. No specialist equipment needed.
Step 3: We Review Your Setup
Once your Live Quote submission comes through, our team reviews it — typically within 24 hours on business days.
We assess the photos, cross-reference the property details, and identify the scope of work. If anything is unclear, we'll reach out before quoting rather than pad the price to cover unknowns.
For straightforward jobs, we can usually confirm a fixed price from the information provided. For more complex setups — unusual wall construction, non-standard access, older electrical configurations — we'll be upfront about any variables that might affect the scope.
Step 4: We Contact You With the Next Step
Once we've reviewed your submission, we contact you with one of the following:
A fixed quote — the total price for the job as described, confirmed before you commit to anything. If you're happy with the quote, you pay a $199 deposit to secure your booking date. The deposit is credited in full against your total cost.
A question or clarification — if we need one or two additional details or photos before we can quote accurately, we'll ask specifically. This is less common but happens occasionally with non-standard setups.
A recommendation — if the photos or description suggest a different approach would serve you better (for example, if a repair isn't cost-effective on an old system and replacement makes more sense), we'll say so before you commit.
What Happens Before Work Begins
Before any technician arrives at your property, the following will have been confirmed:
- The scope of work agreed in writing
- The fixed price confirmed and deposit paid
- Your installation or service date booked and confirmed
- Any access requirements discussed (e.g. strata permissions, tenant access, preferred arrival window)
We don't start work based on verbal agreements or estimates. Everything is documented before the job begins.
Installation, Repair, Maintenance or Replacement
Installation
Our technicians arrive with the unit, all fittings, and the tools for your specific job. Standard residential installations are typically completed within 2–4 hours. On completion, we commission the system, test both heating and cooling modes, and provide a written Comfort Report documenting the installation details, settings, and any observations.
Repair
We arrive with the diagnostic information from your photos and description. Where the fault has been identified from the submission, we bring the likely required parts. If diagnosis on-site reveals something different, we'll advise before proceeding with any additional work.
Maintenance
We follow a consistent checklist: filter clean, coil inspection, drain check, refrigerant pressure check, electrical connections, and full operational test. You receive a written report on completion.
Replacement
Old unit is decommissioned (including refrigerant recovery in compliance with Australian regulations), removed, and disposed of responsibly. New unit is installed, commissioned, and documented. Typically completed in a single visit.
Frequently Asked Questions
Do I need to be home when you arrive?
Yes — someone needs to be present to provide access and sign off on the completed work. If access arrangements are specific (e.g. a tenant is home but you as the owner won't be), let us know when booking and we'll confirm the process.
How long does the quote process take?
Most quotes are turned around within 24 hours of submission. Complex jobs or submissions that come in over the weekend may take until the next business day.
What if my job changes on the day?
If the technician arrives and discovers a material difference from what was quoted — for example, a wall construction that wasn't visible in the photos — we'll stop and discuss it with you before proceeding. We don't add to your bill without prior agreement.
Can I get a quote for multiple properties or units at once?

What is the Comfort Report?
The Comfort Report is a written document provided at the end of every installation. It records the system installed, the settings configured, commissioning results, and any observations made during the job. It's your record of the work completed and serves as the starting point for any future service or warranty queries.
